Each client organization has one Security Administrator and, if they so choose, one Alternate Security Administrator. See Account Access and Privileges for detailed information on the functions that these roles perform for your organization. In this article, we will detail the process for delegating a Security Administrator or Alternate Security Administrator to your account.
Ensuring the security of your account requires that your Security Administrator or Alternate Security Administrator be generally available to make account changes and approve requests. If you anticipate that your Security Administrator and Alternate Security Administrator will be leaving your organization or will both be unavailable for any period of time, it is important to follow this process prior to their becoming unavailable. The process for delegating a new Security Administrator when both the Security Administrator and the Alternate Security Administrator are unavailable can take an extended period of time.
When your PrecisionX Technology account is first created, an authorized representative of your organization will complete the New Client Intake Form, in which they will delegate the Security Administrator for your organization. They will also have the option of delegating an Alternate Security Administrator.
The New Client Intake Form must be completed by an individual who has been authorized on behalf of the organization to execute agreements on behalf of the organization. The Security Administrator and, if delegated, Alternate Security Administrator, must be authorized to act on behalf of your organization for all matters relating to the control and security of your account, including the approval of major account changes, and the addition, removal, or changes in the privileges of account representatives.
Once the New Client Intake Form has been completed, the PrecisionX Technology team will contact the Security Administrator and, if designated, the Alternate Security Administrator, to collect information required to securely identify them and validate their requests for account changes.
The process for updating the delegated Security Administrator or Alternate Security Administrator for your organization requires the approval of an authorized representative of your organization, and proper security validation.
If your Security Administrator is available:
Your organization's Security Administrator is authorized to update the delegation for both the Security Administrator or Alternate Security Administrator role. This includes allowing them to promote the Alternate Security Administrator or another individual to the role of Security Administrator, and if they so choose, may at that time designate themselves as the Alternate Security Administrator. This designation may then only be changed by the newly designated Security Administrator.
Requests made by the Security Administrator to not require additional confirmation. Once the request has been validated, the change will be made and will be effective immediately upon processing by the PrecisionX Technology team.
If your Alternate Security Administrator is available:
Your organization's Alternate Security Administrator may initiate a request to takeover the Security Administrator role if the Security Administrator is unavailable. Once they have taken over the Security Administrator role, in that capacity, they may designate another individual as the Alternate Security Administrator, or choose to designate another individual as the Security Administrator, and themselves or a third individual as the Alternate Security Administrator. In the case of their designating another individual as the Security Administrator and a third individual as the Alternate Security Administrator, they would themselves no longer hold a designated Security Administrator role.
Requests made by the Alternate Security Administrator to takeover the Security Administrator role require a 7 day waiting period. During this time, PrecisionX Technology will send at least 3 emails to the listed Security Administrator, one on the day the request is made, one 3 days before it will be processed, and one the day before it will be processed. In addition, on the day the request is made (or the next working day thereafter), PrecisionX Technology will attempt to make contact with the Security Administrator via phone if a number was provided. The Security Administrator will have the authority to cancel the takeover process by notifying PrecisionX Technology that they do not approve of the change. For security reasons, even if they indicate that the change is approved, all 3 emails must be sent and the validation call must be made in accordance with the aforementioned schedule.
Once the 7 day waiting period has passed, the change will be made and will be effective immediately upon processing by the PrecisionX Technology team. If at any time a during the 7 day waiting period a non-approval is given by the Security Administrator, the process is immediately canceled. If it is restarted, the 7 day waiting period begins again and cannot be bypassed.
If neither the Security Administrator nor Alternate Security Administrator is available:
An individual who has been authorized on behalf of the organization to execute agreements on behalf of the organization must authorize the delegation of a new Security Administrator. In order to authorize the delegation of a new Security Administrator, an authorized representative of the organization must:
Complete the Designation of Replacement Security Administrator form
Have the form notarized
Provide a copy of their valid, government issued photo identification matching the name shown on the completed Designation of Replacement Security Administrator form
If the individual completing the Designation of Replacement Security Administrator form is the same individual who initially completed the New Client Intake Form, no additional validation is required, beyond email confirmation at the original email address authorizing the change. If the Designation of Replacement Security Administrator form is completed by a different individual than the one who initially completed the New Client Intake Form, additional validation may be required, at the discretion of PrecisionX Technology. This may include a requirement that the individual completing the Designation of Replacement Security Administrator form obtain a lawyer opinion letter confirming the authority of the individual to act on behalf of the organization.
Once the authority of the individual completing the Designation of Replacement Security Administrator form has been validated, the change will be made and will be effective immediately upon processing by the PrecisionX Technology team.
